Punch List and Inspection Tracker Template
An Excel workbook for construction quality tracking: an inspection and test plan with hold points, a punch list with days open and overdue flags, and a dashboard by category.
The Inspection Plan tab is an Excel Table listing critical activities with their requirement reference, the inspection point type (hold, witness, or review), frequency, responsible person, acceptance criteria, and records. The Punch List tab logs each item with its location, trade, category, priority, assignee, due date, and status, and it calculates Days Open and flags overdue items.
The Dashboard shows items logged, open, closed, and overdue, the average days open for closed items, and a chart of open and closed items by category. Six inspection points and eight punch items are included so you can see the formulas working before you replace them.

Key Features Inside the Template
Hold, Witness, and Review Points
The plan makes clear where work must stop for inspection, where an inspector may witness, and where records are reviewed.
Punch Items With Owners and Dates
Every item has a trade, an assignee, and a due date, and the list flags overdue items automatically.
Category Analysis
A dashboard by category shows where defects cluster, so causes can be fixed for the next project.
Average Days to Close
See how long closed items stayed open, to judge how quickly trades respond.
Best Use Cases
- Setting up inspection and test planning at the start of a project
- Managing the punch list from substantial completion to closeout
- Recording defects by trade and category to find recurring causes
- Sharing status with the owner and trade partners
How to Use the Template Effectively
- Build the inspection plan with the project team, and agree hold and witness points before work starts.
- Walk each area and log punch items with a location, trade, category, and due date.
- Assign every item, and review the overdue list at a weekly meeting.
- Update status as work is done and rechecked, and record the closing date.
- After closeout, analyze categories and causes, and feed them into the next project's plan.
Who Should Use This Template
- Quality managers and superintendents
- Project engineers and coordinators managing closeout
- Trade foremen responding to punch items
Common Mistakes to Avoid
- Using the punch list only at the end instead of inspecting earlier
- Leaving items without an owner or a date
- Closing items without a recheck
- Never analyzing categories, so the same defects repeat on the next project
Important Notes
Punch List and Inspection Tracker Template Frequently Asked Questions
What is the difference between a hold point and a witness point?
A hold point is a stage at which work must stop until an authorized person has inspected and released it, while a witness point invites the inspector to observe but lets work proceed if they do not attend, as defined in the plan. Your contract and project quality plan define which applies to each activity.
How are Days Open and Overdue calculated?
Days open is the closing date minus the date found for closed items, and today's date minus the date found for open items. An item is flagged Overdue when it is not closed and today's date is past its due date, so the flags update each time the workbook is opened.
Can I add more punch items?
Yes. The Punch List has 200 formatted rows. Drag the table's resize handle to add more, and copy the formulas in the Days open and Overdue columns into the new rows.
