Instructions

How to use this app

  1. List the skills the team needs, and set the level each requires.
  2. Rate each person's current level from direct observation, tests, or sign-off records, not from self-report alone.
  3. Look first at coverage risks: skills that fewer than two people can do to the required level.
  4. Plan training and job rotation for the training needs, starting with the riskiest skills.
  5. Re-rate after training and keep the results in your skills matrix.

What This Skills Gap Analyzer Helps You Decide

This analyzer compares what a team can do with what the work requires. You rate each person against each skill, set the required level, and the tool shows the gap, who is below the requirement, and which skills have too few qualified people to cover for absence.

Use it to plan cross-training, to decide where training effort matters most, and to spot single points of dependence before someone goes on leave or leaves the organization.

The Five Levels

LevelMeaningEvidence to look for
0No knowledge of the taskHas not been trained
1LearningCan do parts with supervision
2CompetentWorks alone to the standard
3ProficientHandles problems and exceptions
4Can teachTrains and signs off others

Worked Example: A Four-Person Cell

The pre-loaded example rates four people on six skills. Gage use and calibration requires level 2, and only Ana meets it, so it is flagged as a coverage risk and is the largest average gap (average 1.0 against a requirement of 2). Machine setup requires level 3, and Ana and Dee meet it, so it is covered but thin. Chris is below the requirement on machine setup, gage use, and root cause, which makes Chris the natural focus for training.

Forklift operation shows a different pattern: Ana can teach it, Chris and Dee are competent, and Ben has no training. Three of four people meet the requirement, so coverage is fine, but Ben cannot cover the task and may need training if the work spreads.

Skills Gap Analyzer Frequently Asked Questions

What is a coverage risk?

A coverage risk is a skill that fewer than two people can perform to the required level. If the one qualified person is absent, leaves, or is unavailable, the work has no backup, so these skills are the first candidates for cross-training.

How do I rate people fairly?

Base ratings on evidence such as observed performance, test results, and formal sign-offs, ideally agreed by more than one person. Define what each level looks like for each skill so ratings are consistent, and use the results to develop people rather than to compare or discipline them.

Is my data stored anywhere?

No. The tool saves your entries in your own browser using local storage and does not send anything to a server. Use first names or initials only, and clear the data with Clear all when you are done.
