Last Planner Work Plan Template

An Excel workbook for the Last Planner System: a six-week lookahead that screens for constraints, a weekly work plan of commitments, and a PPC log that counts reasons for misses.

The Lookahead tab is an Excel Table where each activity starting in the next six weeks has a constraint type, an owner, and a need-by date. An activity shows Ready when it has no constraint or the constraint is Cleared, and Late flags open constraints past their need-by date. The Weekly Work Plan tab records each week's assignments, whether each was committed and completed, and a reason for every miss.

The PPC Log calculates planned, completed, and percent plan complete by week from the Weekly Work Plan, counts misses by reason, and charts both. Example data for three weeks are included so you can see the formulas working before you replace them.

Key Features Inside the Template

Constraint Screening Built In

Every lookahead activity has a constraint field and a Ready or Blocked status, so only ready work is promised.

PPC Calculated From the Plan

Enter assignments once. Planned, completed, and PPC for each week calculate automatically.

Reasons Counted for You

A reasons table counts misses by category, which points the team to the constraint to remove first.

Charts for the Weekly Meeting

PPC by week and reasons for misses are charted for quick review with the crews.

Best Use Cases

  • Weekly work plan meetings with foremen and trade partners
  • Introducing the Last Planner System on a project
  • Reporting planning reliability to owners and project leadership
  • Teaching pull planning and constraint screening

How to Use the Template Effectively

  1. List the next six weeks of activities in the Lookahead, with any constraint and its need-by date.
  2. Chase the constraints weekly, and mark them Cleared when resolved.
  3. In the weekly meeting, crews commit only to Ready work. Enter those assignments in the Weekly Work Plan.
  4. At week's end, mark each assignment Completed Yes or No, and record a reason for every No.
  5. Review PPC and the top reasons, and act on the biggest constraint.

Who Should Use This Template

  • Superintendents, project engineers, and planners running the weekly work plan
  • Foremen and trade partners making commitments
  • Project managers and owners reviewing planning reliability

Common Mistakes to Avoid

  • Committing to work that has an open constraint
  • Leaving the reason blank or using Other for most misses
  • Using PPC to rank crews instead of to learn
  • Watching PPC without also watching progress against the schedule

Last Planner Work Plan Template Frequently Asked Questions

How does the workbook calculate PPC?

For each week's start date in the PPC Log, it counts the assignments in the Weekly Work Plan that were committed, and those that were committed and completed, then divides. Use the same start date, such as Monday, for every row so that assignments are matched to the right week.

What if an assignment is carried over to the next week?

Mark it not completed in the week it was promised, record the reason, and add it again as a new assignment in the following week if it is still Ready. Carrying it over silently would hide the miss and overstate reliability.

Can I add more rows or weeks?

Yes. The Weekly Work Plan has 120 formatted rows and the PPC Log has 16 weeks. Drag the table's resize handle to add rows, and copy the formulas in the calculated columns of the PPC Log to add weeks.
