AI Workforce Impact and Training Plan

An Excel workbook for the people side of an AI use: task changes by role with hours before and after, time spent checking AI output, a training plan with completion tracking, an engagement log, and a dashboard.

The Task Changes sheet lists each task for each affected role with hours per person per week before and after AI and how AI is involved: none, AI does a first pass, AI assists, a person checks AI output, or a person handles exceptions. The Roles sheet adds them up by role: it checks that the hours still total the same, shows the time spent checking AI work and handling exceptions, and the first-pass hours removed, per person and for the team.

The Training Plan sheet lists each audience and topic with a method, the number of people to train and trained, an owner, and a due date, and calculates the percent trained and a status. The Engagement log records each briefing, workshop, survey, or conversation, the concern raised, the response, and an overdue flag. The Dashboard shows roles and people affected, team hours spent checking, training completion, overdue training, and open concerns.

Example data for three roles at an illustrative plant are included so you can see the formulas working before you replace them.

How to Use the Template Effectively

  1. List the affected roles and the number of people on the Roles sheet.
  2. With the people who do the work, list each task and the hours before and after, and how AI is involved. The hours for a role should total the same.
  3. Plan the training by audience and topic with owners and dates.
  4. Log every briefing, workshop, survey, and conversation, and answer the concerns raised.
  5. Review the dashboard, and the plan itself, at 30, 90, and 180 days.
  6. Say plainly what the AI is not for and what will happen to the time it frees, and keep the promise.

Who Should Use This Template

  • Operations and HR leaders
  • Supervisors and use owners
  • Training and change leads
  • Students and trainees learning change management

Common Mistakes to Avoid

  • Announcing the change instead of involving people
  • Counting the time saved but not the time spent checking
  • Training once
  • Concerns with no response
  • Using AI to monitor people without a policy

AI Workforce Impact and Training Plan Frequently Asked Questions

Why must the hours for each role total the same before and after?

Because the week does not get longer. If the total changes, a task is missing or an assumption is wrong. The Roles sheet flags a mismatch.

What counts as checking time?

Tasks marked as a person checking AI output or a person handling exceptions. They are real work and should be counted in the plan.

Does the workbook decide what happens to the time freed?

No. That is a management decision. The workbook shows how much time is freed, and the guide says to state plainly what the intent is and keep the promise.

Is this HR or legal advice?

No. Employment, monitoring, and consultation rules vary by place. Involve HR and legal, and any representatives, as required.
